Job description
We at FutureWorks Media are seeking a highly organized, proactive, and dynamic Admin Assistant to the CEO. In this role, you will be responsible for providing comprehensive support to the CEO in a high-growth, fast-paced environment. This position requires exceptional communication skills, attention to detail and the ability to handle sensitive information with discretion. You will play a critical role in ensuring the smooth operation of the CEO's daily activities, including scheduling and correspondence.
Job requirements
Manage and maintain the CEO’s calendar, appointments, travel arrangements, and correspondence.
Prepare and review documents, presentations, and reports for executive meetings and external engagements.
Act as a liaison between the CEO and internal/external stakeholders, ensuring timely and accurate communication.
Coordinate executive meetings, board sessions, and leadership events — including agenda preparation, minute-taking, and follow-up actions.
Handle confidential information with discretion and maintain strict confidentiality in all matters.
Support project management initiatives and track progress on key organizational priorities.
Conduct research and compile data to support executive decision-making and strategic planning.
Draft communications, memos, and briefing materials on behalf of the CEO.
Assist in monitoring operational performance and follow up on deliverables from senior management.
Represent the CEO’s office with professionalism and integrity, both internally and externally.
Required Qualification:
Bachelor’s degree in Business Administration, Management, or related field (Master’s preferred).
Minimum of 5–8 years’ experience in executive or senior administrative support, preferably at the C-suite level.
Excellent communication, writing, and interpersonal skills.
Strong organizational and time-management abilities with keen attention to detail.
High level of discretion and professionalism in handling sensitive information.
Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with collaboration tools (Teams, Slack, Asana, etc.).
Ability to work independently, anticipate needs, and take initiative.
